We process your personal data in accordance with UK GDPR and the Data Protection Act 2018. We rely on the following lawful bases:

• Contract. To take steps at your request and perform the contract we have with you, including arranging, administering and renewing your insurance.
• Legitimate interests. To operate and improve our business, prevent fraud, monitor communications for compliance, and maintain accurate records.
• Legal obligation. To meet our FCA regulatory obligations, anti-money laundering requirements, and other legal duties.
• Consent. Where we have specifically asked for and received your consent, for example to send marketing communications. You can withdraw consent at any time.

The data we collect depends on your relationship with us. It may include:

Contact and identity information

• Full name, job title and employer
• Email address, phone number and postal address
• Date of birth, where required for underwriting purposes

Business information

• Company registration details, turnover and sector
• Nature of business activities and operational locations
• Headcount and existing insurance arrangements

Financial and risk information

• Financial details relevant to the assessment of your risk
• Claims history
• Credit information, where required for fraud prevention

Website and enquiry data

• Usage data collected via Google Analytics and Hotjar, including pages visited and anonymised device information
• Enquiry and form submission data collected via Formless
• Data collected via cookies (see our Cookie Policy for full details)

We use your personal data to:

• Source, arrange and administer your insurance policies
• Communicate with you about your cover, renewals and claims
• Conduct market reviews to ensure your cover remains competitive
• Carry out fraud prevention, anti-money laundering and identity verification checks
• Meet our regulatory obligations, including FCA record-keeping requirements
• Improve our services, website and client experience
• Send marketing communications where you have opted in, or where we have a legitimate interest to do so
• Manage our business operations, including invoicing and compliance reporting

We use a number of third-party tools to run our business. Each is subject to a data processing agreement and handles your data only to the extent necessary for its function.

• FuelTank. Our proprietary policy management system. Stores your policy details, renewal history and documentation.
• Close CRM. Our client relationship management system. Stores contact records and interaction history.
• Google Suite. Email, calendar and document management, including Gmail and Google Drive. Processed by Google under their Data Processing Addendum.
• Google Analytics. Website analytics. Collects anonymised data on how visitors use our site. IP addresses are anonymised.
• Hotjar. Website behaviour analytics. Records anonymised session data and heatmaps to help us improve user experience. No personally identifiable information is captured.
• Mailchimp. Email marketing platform used for newsletters and service communications.
• Beehiiv. Newsletter and community platform managed by B Labs used for certain content publications.
• Formless. AI-powered enquiry forms on our website, operated by TypeForm. Submitted data is processed and passed to our CRM or other supporting tools as above.

We share your personal data with:

• Insurers and underwriters, to obtain and manage your cover
• Our third-party technology providers, as listed in Section 5
• Fraud prevention and credit reference agencies, where required
• The FCA, HMRC and other regulatory or government bodies, where legally required
• Professional advisors, including legal and financial professionals, where necessary
• Successor organisations, in the event of a business sale, merger or restructure

We do not sell your personal data. We do not share it with third parties for their own marketing purposes.

Some of our third-party providers process data outside the UK. Where this occurs, we ensure appropriate safeguards are in place, including the UK International Data Transfer Agreement (IDTA) or equivalent adequacy mechanisms.

We retain your personal data for as long as necessary, subject to the following:

• Client records are retained for a minimum of six years following the end of our relationship, in line with FCA regulatory requirements
• Enquiries that did not result in a policy are retained for up to two years
• Website analytics data is retained in accordance with the default settings of the relevant platform

Where retention is no longer required and no legal obligation applies, we delete or anonymise your data securely.

Under UK GDPR, you have the following rights:

• The right to be informed about how your data is used
• The right to access the personal data we hold about you
• The right to have inaccurate data corrected
• The right to have your data erased, in certain circumstances
• The right to restrict or object to processing
• The right to data portability, where processing is based on consent or contract
• The right to withdraw consent at any time, where processing is based on consent
